1. Purpose of the Public Registry
The IHPSO Public Registry provides a public verification mechanism for selected information relating to Professionals who participate in the IHPSO Professional Framework. It is intended to help third parties distinguish between a Professional's identity within IHPSO, completed IHPSO Education, current Professional Membership status, and information provided by the Professional themselves. The Registry is not a governmental licensing register.
2. Professional ID
An IHPSO Professional ID is a persistent identifier assigned to an eligible Professional. It remains associated with the individual Professional; is not transferred to an employer, organisation or Education Provider; does not expire merely because Membership expires; may remain associated with the Professional after suspension, revocation or reactivation; does not itself prove current ACTIVE Membership; and does not constitute a statutory or governmental professional licence. A Professional ID must not be interpreted as proof that the holder is legally authorised to perform any specific regulated activity.
3. Registry Publication
A Public Registry profile is published only after the applicable IHPSO requirements and approval steps have been completed. Payment alone does not create or publish a Registry profile. IHPSO may require completion of required eligibility information, Core Education and assessments, verification of required information/documentation, and final approval.
4. IHPSO Verified and Professional Provided Information
Registry information may be classified as IHPSO Verified or Professional Provided. IHPSO Verified information may include Professional ID, Membership status, IHPSO Education Completion, Certificates and Badges, issue/completion dates and credential verification status. Professional Provided information may include professional description, specialisation, organisation/practice, website, biography, location and other professional profile information. Professional Provided information must not be interpreted as independently verified by IHPSO merely because it appears on a Registry profile.
5. Public Membership Status
IHPSO may publicly display ACTIVE, EXPIRED, INACTIVE, SUSPENDED and REVOKED. ACTIVE means applicable IHPSO requirements are currently fulfilled and the Professional is within an applicable paid Membership period. EXPIRED means the paid Membership period has ended without successful renewal and is not a disciplinary finding. INACTIVE is a non-disciplinary inactive status where applicable. SUSPENDED means standing has been temporarily restricted following an IHPSO governance decision. REVOKED means standing has been withdrawn following an IHPSO governance decision. IHPSO may define additional internal statuses that are not displayed publicly.
6. Payment Does Not Override Standing
Payment, renewal or successful billing does not automatically create ACTIVE status and does not automatically override SUSPENDED, REVOKED, incomplete eligibility, incomplete Core Education, failed assessment requirements or other unresolved Membership requirements. Professional Standing is determined by the full applicable Membership and governance requirements, not by payment alone.
7. Education Completion
Education Completion is recorded separately from current Membership status. A completed Core Course remains recorded as completed unless the Education record itself is later found to have been issued or recorded incorrectly. Normal Membership expiry does not erase legitimate Education Completion.
8. Certificates and Badges
IHPSO Certificates and Education Badges document specific IHPSO Education Completion. They identify what was completed and the relevant completion/issue date, remain historical records of legitimate completion, do not themselves prove current ACTIVE Membership, do not constitute a governmental licence, and do not automatically expand statutory Scope of Practice. A Certificate or Badge may remain verifiable after Membership has expired.
9. Certificate Verification
Where a Certificate carries a QR code or verification address, it links to a persistent IHPSO verification record. The record may show separately the Professional ID, relevant Certificate/Education Completion, issue/completion date, credential status and current Membership/Professional Standing. A verification address may continue to operate after Membership status changes. The purpose is to distinguish what was completed historically from the Professional's current standing.
10. Credential Status
A legitimately issued Education credential may remain valid as a historical completion record after Membership expiry. IHPSO may use credential statuses including VALID and VOID. A credential may be marked VOID or otherwise withdrawn where it was issued in error, the underlying completion record was invalid, assessment/completion data was materially manipulated, or the credential itself was fraudulently obtained. Normal Membership expiry alone does not make a legitimate Course Certificate VOID.
11. Registry Profiles After Expiry
Where technically and operationally applicable, an expired Professional profile may remain publicly accessible and be marked EXPIRED. This allows third parties to distinguish between a person who previously held IHPSO Professional Membership and a person who has no Registry record. An expired Registry profile must not imply current ACTIVE Membership.
12. Suspension and Revocation
Where IHPSO applies SUSPENDED or REVOKED status, the Public Registry may display that current status. IHPSO is not required to publish detailed reasons for a governance decision publicly. The affected Professional may receive further information directly under the applicable review or appeals process. Suspension or revocation of Professional Standing does not automatically erase historical Education Completion unless the relevant Education record itself is affected.
13. Correction of Registry Information
A Professional may request correction of inaccurate Registry information. IHPSO may require reasonable evidence before changing information classified as IHPSO Verified. Professional Provided information may be corrected or updated where the Professional supplies the relevant revised information. Requests may be sent to info@ihpso.com. IHPSO may retain an internal audit record of material corrections where reasonably necessary for system integrity, fraud prevention, compliance or dispute resolution.
14. Removal and Unpublishing
IHPSO may unpublish, restrict or remove a Registry profile where reasonably necessary, including publication in error, materially false eligibility information, a Professional request where removal is available, legal requirements, safety/integrity/fraud concerns, or a governance decision. Removal of a public profile does not necessarily require deletion of all underlying records. IHPSO may retain information necessary for credential verification, contractual records, compliance, fraud prevention, dispute resolution, governance history and legal obligations. Retention is governed by the IHPSO Privacy Policy.
15. Search Results
A search result in the Public Registry reflects published Registry data at the time of the search. A search returning no result does not necessarily prove that a person has never interacted with IHPSO. It means only that no matching public profile is currently available under the search criteria used.
16. Accuracy and Verification Limits
IHPSO takes reasonable steps to maintain the accuracy of information classified as IHPSO Verified. However, IHPSO does not independently verify every statement supplied by a Professional, does not certify the Professional's legal authority to practise, does not replace governmental/professional licensing authorities, and Registry publication does not guarantee competence for every activity a Professional may undertake. Third parties should independently verify statutory licences or regulated professional credentials with the relevant authority where required.
17. Misuse of IHPSO Credentials
Professionals must not alter an IHPSO Certificate or verification record in a misleading way, allow another person to use their Professional ID, falsely represent EXPIRED/SUSPENDED/REVOKED status as ACTIVE, imply governmental licensing through IHPSO credentials, create unofficial credentials that appear to be issued by IHPSO, or misrepresent Professional Provided information as IHPSO Verified. IHPSO may investigate suspected misuse and take appropriate governance action.
18. Appeals and Review
Certain Registry or Professional Standing decisions may be eligible for internal review or appeal, including suspension, revocation, refusal to publish and rejection of eligibility or qualification evidence. The applicable process is described in the IHPSO Appeals Policy.
19. Privacy
Registry publication involves the intentional public display of selected professional information. The categories of published data, legal basis, retention, rights and related processing are described in the IHPSO Privacy Policy. Professionals should not submit information for public publication that they do not wish to be publicly accessible.
20. Changes to this Policy
IHPSO may update this Policy where reasonably necessary to reflect changes to the Registry, credential systems, Membership requirements, governance procedures, legal requirements or technical developments. The current version and effective date will be displayed with the Policy.
